MAIN FUNCTION OF JOB
The main focus is to help Admin/HR team with all general administrative tasks and ad-hoc duties in order to ensure the smooth day-to-day running of the office.
KEY TASKS
Main responsibilities:
• General administrative duties and Office Management (including but not limited to)
o Screening incoming calls
o Sorting and distributing incoming mail. Managing outgoing mail. Logging incoming posts
o Deliveries and liaising with off-site consolidation centre. Requesting courier services
o Visitors’ management incl. registering visitor log (QR codes) in the system, welcoming visitors
o Maintaining meeting room calendar and setting up meetings when required
o Registering, amending, and terminating access cards for staff
o Monitoring the stock levels and ordering stationery, office supplies and refreshment
o Preparing, Ordering, and distributing business cards
o Maintaining a well-presented canteen area
o Filing, photo-copying, scanning and typing documents
o Maintaining and updating office databases incl. update office plan, Back-up Plan, Org. chart, Cabinets review etc.
o Off-site storage arrangement incl. liaising with the off-site storage vendors for ordering, collection, keeping the record updated
o Events planning incl. Christmas party, Farewell arrangement, leaving cards etc.
• Assist with account payable / receivable when required
o Processing invoices internal system
o Collecting and recording monthly corporate cards expenditure
• Implementing new procedures and systems as and when required
• Supporting Managers, Senior Admin Officer or any other team member on matters that may arise.
• Providing cover to other team members during their absence
• Undertaking any Ad-hoc Admin/HR assignments requested by the General Manager or Administration managers.
The tasks listed in this job description are not exhaustive. Additional duties may be assigned by the manager and adjusted in line with organizational needs. The employee may also be assigned or transferred to different functions within the branch, depending on business needs.
근무스케쥴 / Schedule: 8:30 AM- 4:30 PM, Mon-Fri (1 hour Lunch break)
휴가 / Holiday 23 working days in the first full holiday year (+ UK Bank Holidays)
• Please note company’s holiday year runs from 1st Jan to 31st Dec
급여사항 / Annual Salary: Will be determined after interviews depending on skills and experience
